Community Learning Lac La Biche is seeking a welcoming, organized, and community-minded Administrative Assistant to support the day-to-day operations of the Community Learning HUB. This position serves as an important point of contact for learners, volunteers, community members, and partners while providing administrative support and assisting with the coordination of learning programs, workshops, and events
The ideal candidate is approachable, dependable, detail-oriented, and comfortable working with a diverse range of people
Wage/Salary: $17 per hour
Hours of Work: 35 hours/week; evenings and weekends as required
Work Location: On Site, Community Learning HUB – Lac La Biche
Main Duties:
Reception & Public Engagement
- Welcome visitors and respond to telephone, email, and in-person inquiries.
- Provide information about programs, services, and community resources.
- Maintain a welcoming, organized, and supportive learning environment.
Learner & Volunteer Support
- Support learner and tutor matching and ongoing communication.
- Assist with learner and volunteer onboarding, scheduling, and relationship-building.
- Help source and maintain current learning resources.
- Assist with planning and evaluating programs based on community learning needs.
Office & Administrative Support
- Manage general office duties including mail, filing, photocopying, supplies, and document preparation.
- Maintain records, policies, procedures, contracts, and organizational files.
- Process invoices and prepare correspondence, reports, forms, presentations, and other documents.
- Complete accurate data entry using Microsoft Office programs.
Data & Program Coordination
- Maintain the provincial CALP Learner Database and other organizational records.
- Prepare reports and data summaries for management, funders, and stakeholders.
- Coordinate organizational calendars, workshops, programs, events, and fundraisers.
- Recruit, schedule, and communicate with volunteers for programs and events.
Required Skills:
- Strong organizational and time-management skills.
- Excellent communication and interpersonal skills.
- Proficiency with Microsoft Word, Excel, PowerPoint, and other office technology.
- Strong attention to detail and ability to maintain confidentiality.
- Patient, respectful, and comfortable working with adults who may experience literacy or other learning barriers.
- Ability to work independently while also being an effective team member.
- Flexibility to occasionally work evenings and weekends as required.
Experience Required:
- Previous administrative, reception, office, or customer service experience.
